The Executive Assistant (EA) provides comprehensive administrative support to executives, ensuring smooth operational work flows. The key responsibilities and scope of the role include:
Calendar & Schedule Management:

- Coordinate and manage executive calendars, prioritising appointments and meetings.
- Schedule internal and external meetings, ensuring minimal conflicts and efficient time utilisation.
Travel & Logistics Coordination:
- Plan and organise domestic and international travel, including flights, accommodations, and itineraries.
- Handle transportation arrangements and ensure all travel logistics are in place.
Communication & Correspondence:
- Manage incoming calls, emails, and other communications on behalf of the executive.
- Draft, review, and manage correspondence, ensuring timely and professional responses.
- Serve as a liaison between executives, staff, clients, and external stakeholders.
Document Preparation & Management:
- Prepare reports, presentations, meeting agendas, and minutes.
- Maintain and organise digital and physical files, ensuring easy access to important documents.
Event Coordination:
- Organise and oversee the planning of events, conferences, and meetings.
- Ensure all logistical aspects of events are executed smoothly.
Project Management Support:
- Assist with the execution and management of various projects by tracking progress and deadlines.
- Collaborate with other departments to ensure timely completion of tasks.
Office & Resource Management:
- Maintain office supplies, equipment, and other administrative resources.
- Ensure the office environment is organised and efficient.
Confidentiality & Discretion:
- Handle sensitive information with the highest degree of confidentiality and professionalism.
- Support the executive in decision-making processes while maintaining discretion.
Problem Solving & Ad-Hoc Tasks:
- Proactively identify issues or roadblocks and provide solutions to keep operations running smoothly.
- Take on various ad-hoc tasks as required by the executive or management team.
This role requires excellent organisational skills, multitasking abilities, attention to detail, and strong communication skills to ensure seamless administrative support and contribute to the success of the organisation.
Must haves:
1. Strong command of the following languages, English, Mandarin and Malay.
2. Good organisational skills and self reliant.
3. Experience in related industry (finance,banking, audit and etc)
4. Experience as a professional Executive Assistant to C-Suite Executives of at least 4 to 7 years.
